Separate accounts for administration and development

In DataOwn, administrators and BI developers have separate accounts — even when the same person fills both roles. This is intentional: separating sign-in (authentication) from permissions (authorization) significantly improves security.

Need both roles? Create two accounts with different email addresses.

Two addresses, one inbox

Most email providers let you use multiple addresses without creating extra mailboxes:

  • Plus addressing (subaddressing) — Add a plus sign and a label to your existing address, for example john.smith+admin@company.com and john.smith+developer@company.com. All mail arrives in the same inbox, but DataOwn treats them as separate accounts. Works with Gmail, Google Workspace, Outlook.com, and others. Gmail help article
  • Aliases — Some providers (such as Google Workspace and Microsoft 365) let you set up separate alias addresses that forward to your main mailbox.

Choose a clear label for each account (for example +admin or +dev) so you can filter incoming mail by which account an invitation or notification relates to.

The Users tab

When you sign in as an administrator, you only see the Users tab. There you find all existing users and can change their role:

  • admin — Manages users and roles
  • developer — Loads and transforms data; creates charts, tables, and dashboards
  • viewer — Views and uses dashboards, charts, and tables

More roles will become available soon. It will then also be possible to give viewers access to part of the dashboards.

Inviting new users

On the Users tab you can invite new colleagues. They receive an invitation link to activate their account.

New users are assigned the viewer role by default. Once the account is activated, you can change the role to developer or admin.
